Thursday, March 7:

7 a.m. – 5 p.m.

Sunday, March 10:

6:30 a.m. – 9:45 a.m.

All large equipment booths must schedule an appointment to move-in.

Large equipment is defined as anything that requires ground unloading off of a flatbed or lowboy, or anything that warrants additional room to unload.

Aisle carpet will be laid Saturday at 5 p.m., please clear the aisles.

Exhibits must be show-ready by 9:45 a.m. on Sunday, March 10.

Monday, March 11:

Hall Open to Exhibitors 7 a.m. – 5 p.m.

Show Open 9:45 a.m. – 3 p.m.

Lunch Noon – 1 p.m.

Tuesday, March 12:

Hall Open to Exhibitors 7 a.m. – 7 p.m.

Show Open 9:45 a.m. – 1:45 p.m.

Lunch 11:30 a.m. – 12:30 p.m.


Tuesday, March 12: 

1:45 p.m. – 7 p.m.

Wednesday, March 13

8 a.m. – Noon

Tear-down is not allowed before 1:45 p.m. on Tuesday.

Register Booth Workers

If you are working at a booth for your company, you must register individually.

Each exhibiting company receives two complimentary exhibitor registrations per each 100 square feet of booth space reserved. Additional exhibitor registrations must be purchased at a special reduced rate.

Exhibitors cannot register with Expo discount coupons or Expo-only passes.

Manage Your Online Profile

Each exhibitor contact should have received an email with instructions on managing your online company profile. The information you list in your online profile appears in our interactive expo floor plan. Attendees can use the floor plan to learn more about your company and see where your exhibit space is located at Exchange. You can update your online profile at any time, and changes are published online in real-time.


Submitting proof of general liability insurance is a requirement for all exhibitors. Please submit your certificate by  September 2018. If your certificate will expire between then and Exchange, please let us know when we can expect the renewal. Please send all certificates to Whitney Bey. If you wish to purchase a pre-prepared certificate online, we have arranged this option through John Buttine Insurance Inc., for $65.00.

Please double-check that all certificates meet the following requirements:

  • One, the certificate must cover “Commercial General Liability” insurance.
  • Two, the certificate must cover the dates of March 7-14, 2019.
  • Three, the limit for each occurrence must be set at a minimum of $1,000,000.
  • Finally, both GEAPS and New Orleans need to be included on the certificate as additional insureds.  The language would look like this, “Grain Elevator and Processing Society (GEAPS), Ernest N. Morial – New Orleans Exhibition Hall Authority, NOPFMI and the city of New Orleans are additional insureds with respect to the insured’s exhibit at the 2019 GEAPS Exchange.
Exhibitor Kit

Each exhibitor contact will recieve an email from Hargrove Inc with instructions on how to order booth furnishings, electrical, etc. this fall. Keep an eye out. If you need this email re-sent please email conferences@geaps.com


Ample parking is available at the Convention Center for a daily fee. Overnight parking is prohibited. The address is: 900 Convention Center Blvd., New Orleans, LA 70130

Exhibitor Housing and Request-A-Block

Exhibitors who need to book 10 or more rooms booth workers can request their own block of rooms. These rooms will be guaranteed to the exhibitor. Exhibitors can manage the reservations in their block, including the names of booth workers, making changes and cancellations.

No Suitcasing Policy

If an attendee who is not officially representing any company showcasing in the Exchange exposition [a company registered as a trade-show exhibitor] is observed to be soliciting business from an attendee who is also not registered as a trade-show exhibitor, in the exposition hall or any other public space or facility under GEAPS’ Exchange show management, or in violation of any provision of this policy, that person will be asked to leave the facility or space immediately. Penalties may also be applied. Observed violations should be reported to GEAPS’ Exposition Services Manager.

GEAPS recognizes that “suitcasing” may also take the form of commercial activity conducted from a hotel guest room; a restaurant, club, or other public place of assembly over which GEAPS has no management control. This policy applies to only GEAPS’ events at venues including sites, facilities or portions of facilities under GEAPS show management to include any event, facility or space reserved by or for GEAPS. Read the full policy.
