Contracts and Services
This fall each exhibitor contact will receive an email from Hargrove Inc with instructions on how to order booth furnishings, electrical, etc. Keep an eye out. If you need this email re-sent please email firstname.lastname@example.org.
Final payments for booths at Exchange 2020 were due on Sept. 5, 2019. If you have not done so already make sure to submit payment to retain your space.
Submitting proof of general liability insurance is a requirement for all exhibitors. Please submit your certificate by Sept. 5, 2019. If your certificate will expire between then and Exchange, please let us know when we can expect the renewal. Please send all certificates to Whitney Bey. If you wish to purchase a pre-prepared certificate online, we have arranged this option through John Buttine Insurance Inc.
Please double check that all certificates meet the following requirements:
- One, the certificate must cover “Commercial General Liability” insurance.
- Two, the certificate must cover the dates of March 19-25, 2020.
- Three, the limit for each occurrence must be set at a minimum of $1,000,000.
- Finally, both GEAPS and Minneapolis need to be included on the certificate as additional insureds. The language would look like this, “Grain Elevator and Processing Society (GEAPS), the city of Minneapolis, its officers, agents and employees are additional insureds with respect to the insured’s exhibit at the 2020 GEAPS Exchange.”
Large Equipment Move-In
All large equipment booths must schedule an appointment to move-in. Large equipment is defined as anything that requires ground unloading off of a flatbed or lowboy, or anything that warrants additional room to unload.

Parking is easy to find at the conveniently located Minneapolis Convention Center. In addition to metered parking, there is a wide selection of off-street parking to choose from within easy walking distance – most of these are parking ramps that are connected to the Minneapolis Convention Center by skyway.

Each exhibitor contact should have received an email with instructions on managing your online company profile. The information you list in your online profile appears in our interactive expo floor plan. Attendees can use the floor plan to learn more about your company and see where your exhibit space is located at Exchange. You can update your online profile at any time, and changes are published online in real-time.
New for GEAPS Exchange 2020 we no longer have a “sample size” rule in place for food and beverage giveaways.
Register Booth Workers
If you are working at a booth for your company, you must register individually.
Each exhibiting company receives two complimentary exhibitor registrations per each 100 square feet of booth space reserved. Additional exhibitor registrations must be purchased at a special reduced rate.
There is a lower member rate for over-allowance registrations. To ensure you get the most value, be sure to register your non-members first with your complimentary registrations.
Exhibitors cannot register with Expo discount coupons or Expo-only passes.

No Suitcasing Policy
If an attendee who is not officially representing any company showcasing in the Exchange exposition [a company registered as a trade-show exhibitor] is observed to be soliciting business from an attendee who is also not registered as a trade-show exhibitor, in the exposition hall or any other public space or facility under GEAPS’ Exchange show management, or in violation of any provision of this policy, that person will be asked to leave the facility or space immediately. Penalties may also be applied. Observed violations should be reported to GEAPS’ Exposition Services Manager.
GEAPS recognizes that “suitcasing” may also take the form of commercial activity conducted from a hotel guest room; a restaurant, club, or other public place of assembly over which GEAPS has no management control. This policy applies to only GEAPS’ events at venues including sites, facilities or portions of facilities under GEAPS show management to include any event, facility or space reserved by or for GEAPS. The GEAPS Exchange is an annual International Technical Conference and Exposition.
Each year thousands of attendees gather at the conference to learn about the latest topics affecting the industry and explore innovative new products and services in the Expo Hall. The location of the Exchange changes from year to year.

GEAPS Exchange 2020 runs from Saturday, March 21 through Tuesday, March 24. It will be held at the Minneapolis Convention Center in Minneapolis, Minnesota.

What is the dress attire for the Exchange?
The suggested attire for all conference functions is business casual. Ties, suits and other business attire are also appropriate, but not necessary. The exception is the President’s Reception and Banquet held Tuesday evening, which is semi-formal (not black tie).

The Exchange is a great opportunity to network with your peers and build your professional network. Social events include:

Yes! GEAPS Exchange has a great companion program for those that are joining their spouses/partners and want to enjoy the host city. We offer base and full companion packages. All companions will have access to the Expo Hall.
If your companion does not wish to attend any tours or visit the Expo, they can feel free to explore the host city on their own.
