2022 Exhibiting Information
Cancellation Policy: Cancellation Deadline is February 1, 2022. Refunds for exhibit space will not be given after this date unless special circumstance occur. In the event that the show is physically sold out (no room for expansion) and there is an established waiting list, refunds will be given on a 1:1 basis less 10% of the rental fee paid.

Register Booth Workers
If you are working at a booth for your company, you must register individually.
Each exhibiting company receives two complimentary exhibitor registrations per each 100 square feet of booth space reserved. Additional exhibitor registrations must be purchased at a special reduced rate.
Exhibitors cannot register with Expo discount coupons or Expo-only passes.
Proof of General Liability Insurance Requirement
All exhibiting companies are required to provide proof of general liability insurance. Companies who do not provide us with this proof will not be allowed to enter the exhibit hall. If you have not done so already, please email your proof of general liability insurance to email@example.com.
Please note these special requirements for the certificate:
- One, the certificate must cover “Commercial General Liability” insurance.
- Two, the certificate must cover the dates of March 23-31, 2022.
- Three, the limit for each occurrence must be set at a minimum of $1,000,000.
- Finally, both GEAPS and Kansas City need to be included on the certificate as additional insureds. The language would look like this, “Grain Elevator and Processing Society (GEAPS) and the City of Kansas City, Missouri are additional insureds with respect to the insured’s exhibit at the 2022 GEAPS Exchange.”

Make Sure Your Booth Complies with the Exhibit Design Rules

Exhibit display design policy is a supplement to the “Rules of the Exhibitor Contract” and will be strictly enforced by GEAPS [show management] and the Exchange general services contractor [Hargrove]. Exhibit displays that do not conform to this policy will not be permitted. Non-conforming exhibits/exhibit displays that have not been reconfigured into conformance or removed at least 2 hours prior to the exposition opening to attendees will be removed or reconfigured, by the Exchange general services contractor at the contractor’s discretion in consultation with the Exchange Exhibitor Services On-Site Committee, and at the exhibitor’s expense. Additionally, the exhibitor will also forfeit their “priority list” position [lose all accumulated priority credit to date].
Design Rules Specific to End Cap Booths
If your booths are situated “horizontally” on the floor plan — perpendicular to the numbered, vertical aisles, you need to take special care not to block the view of other exhibits that share an “island” of the floor plan with you. Your maximum 8’ tall showcase or background must be no wider than 10’, and must be centered on the 20’ back boundary of your exhibit space to allow a view past your display on both the left and right.
In order to help describe these display rules, we have created a diagram which we hope will help! As long as your signs/graphics/display assemblies are not taller than the height that the dashed lines indicate for each area of the end cap booth space, you will be in compliance with the height rules. If you are still uncertain about whether your booth design complies with the rules, we would be happy to look at a diagram of your proposed layout as we hope to prevent anyone from having to adjust their display onsite to comply with the rules.
Submit a booth diagram with specs. to email@example.com if you plan to include structures taller than 16’ and/or physical enclosures as part of your exhibit. We will share this information with the convention center to make sure it is approved by the facility.

No Suitcasing Policy
If an attendee who is not officially representing any company showcasing in the Exchange exposition [a company registered as a trade-show exhibitor] is observed to be soliciting business from an attendee who is also not registered as a trade-show exhibitor, in the exposition hall or any other public space or facility under GEAPS’ Exchange show management, or in violation of any provision of this policy, that person will be asked to leave the facility or space immediately. Penalties may also be applied. Observed violations should be reported to GEAPS’ Exposition Services Manager.
GEAPS recognizes that “suitcasing” may also take the form of commercial activity conducted from a hotel guest room; a restaurant, club, or other public place of assembly over which GEAPS has no management control. This policy applies to only GEAPS’ events at venues including sites, facilities or portions of facilities under GEAPS show management to include any event, facility or space reserved by or for GEAPS.
